Start with the class the job was billed at — compact car, midsize SUV, three-row SUV, minivan, crew cab pickup, dually — because packages price by class and SUV covers both a small crossover and something seating seven. Correction lines need their panels counted: spot correction on one fender is not a hood and roof, and a Two-step paint correction is not what a scuffed bumper gets. A ceramic coating needs its tier in years on the same line, since a one-year entry coating and a nine-year flagship look identical once both are written down as ceramic coating. Paint protection film goes by kit name — hood strip and mirrors, full front end, rocker panels, door edge and cup kit — because film is plotted to a pattern, not measured off the panel. Keep a tax line on the form and zero it where vehicle washing is not taxed. Then write what each package stopped short of: the door jambs, the engine bay, the headlight lenses.
How to fill in the auto detailing invoice template
Work it in the order the vehicle moves through the shop: exterior block, interior block, protection block. Most detail work is flat rate by class, so a package line should list the stages folded into it, not sit there as one word — a full detail covering interior and exterior runs four or five stages, and an express detail is a narrower scope, not a shorter version of it. Open-ended work bills by the hour and the hours belong in the quantity column: overspray removal on a full vehicle, heavy stain work, a rear bench with pet hair embedded in it. Everything else takes the unit it is measured in — headlight restoration by the lens, single or pair; seat extraction by the seat; windshield chip repair by the chip; sticker and decal removal by the piece; Fleet vehicle — per unit by the vehicle; Boat / RV detail (per ft) by the foot. Coating, film and sealant close the invoice, in the order they went onto the car.

Three detailing invoice mistakes that cost a shop money
First, one ceramic coating line on a car whose owner believed the wheels, glass and trim were included. Every coated surface is its own preparation and its own hours, so give each a line — wheels off, wheel faces only, all glass, exterior trim and plastics, engine bay — and where one was quoted and declined, mark it not coated. Second, sending a dealer or fleet account one figure for the month with nothing underneath it. A controller pays what can be identified and holds the rest, so it sits open while somebody tries to remember which cars were in it. Third, a booking taken with no cancellation terms behind it. A detail is sold as a whole vehicle and booked as most of a day, so a slot that empties at nine does not refill. Put the cancellation window on the estimate they accept, then bill the no-show fee as a line.
Common questions
A ceramic coating keeps the car overnight — how does that go on one invoice?
Put two dates on it — the day the vehicle came in and the day it was released — and split the line so the preparation shows. Most of a coating job is the paint work underneath: the exterior decontamination wash, the clay bar treatment, whatever correction was agreed, and then the coating itself. As one line it reads as though the coating alone cost that much, against a bottle price the owner found online. The overnight hold is either its own line, charged as the bay it occupies, or a sentence saying the package price covers it; what it must never be is an unexplained gap between the dates. Number the visit once, not once a day, or the same car appears twice in your records.
What does a dealership expect to see on the month's detailing invoice?
One line per vehicle, carrying the stock or unit number, the date it went through and the service it got, because a lot wash, a used car reconditioning detail and a new car delivery prep are three jobs at three prices. Group them under the purchase order number their accounts payable expects, subtotalled by service type, so a manager can approve recon spend without unpicking wash spend. Record who released each vehicle to you: a used car manager and a service writer both hand out work, and only one owns that budget. Put terms and a due date on it, because a dealer pays on its own cycle and a detailer carrying a lot's month on a handshake is financing somebody else's inventory.
How is a boat or an RV written up when the price goes by the foot?
Write the length overall on the invoice and say what the per-foot figure buys, because the bottom, the topsides and the deck are not one surface and do not carry one rate. A waterline stain is scrubbed off below; chalked gel coat above it is cut back and waxed; deck and rail work is its own line again. On an RV the roof clean and the black streak removal down the sides are where the hours go, and neither sits inside a wash-and-wax figure. Name the access it needed — ladder work, staging, a hull on a trailer against one in a slip — since a boat you cannot walk around costs time no length explains. If it arrived shrink wrapped, wrap removal and disposal is its own line, and so is the spring clean underneath.
What does the customer need to be told before they drive away?
Enough that the finish survives its first week, written as its own block under the line items rather than squeezed in at the foot of the page. Give the keep-dry window in hours after a coating or sealant, say when it may be washed again, and name the method it now needs: a pH neutral maintenance wash by hand, and no automatic brush tunnel, which puts swirls back into paint faster than anything else an owner can do. After a Fabric guard / protectant, say how long the seats need before anybody sits on them. After an interior extraction, say to leave the doors open and whether the mats went back wet. An ozone treatment needs an airing-out instruction of its own.
