What belongs on a lawn care invoice?

Name the turf, because the species sets the numbers under it. Fescue and bluegrass cut at three to three and a half inches, bermuda and zoysia near one, St. Augustinegrass at almost four, and that height governs the overseeding rate and whether a broadleaf product can go over the top of it. Name the property just as narrowly: a house, a rental and a boulevard strip on one account are three service addresses, and back yard only is a scope rather than a detail. Say which operations each visit covered, since mow only and trim and edge only are sold apart, and a customer who bought one reads the other into the price. A fertilization line standing inside a season-long six-step program carries its step number, so the customer can count what is still owed to them. Irrigation lines carry the zone and the head type, because a rotor and a spray head are neither the same part nor the same visit.

How to fill in the lawn care invoice template

Work down the property, not down the calendar. Put the recurring visits first, each one dated, then the extras those visits picked up, then applications, then project work, so a customer reading down the page can see where the contract stops. Mowing prices in a lot band rather than off a tape: under 4,000 square feet, half an acre, one acre, two acres, five, with a step at each. Open ground leaves that logic behind and bills per acre as field mowing or brush cutting, where a rough cut left at four to six inches is not a finish cut and the line has to say which of the two you sold. Fertilization, aeration and overseeding go per thousand square feet of turf. Mulch installs by the cubic yard, bed edging by the linear foot, sprinkler heads and tree rings by the each. Cleanups, overgrown reclaims and storm debris go hourly against a ceiling agreed at the tailgate, with that ceiling printed on the line.

Three invoicing mistakes that cost lawn care crews money

First, shearing a shrub outside its bloom window with nothing on the paper. Bigleaf hydrangea, lilac and forsythia set next season's buds on old wood, so a heavy hedge reshaping in late summer cuts the flowers off before they open and you hear about it when the shrub leafs out bare. Name the shrub and note who chose the timing. Second, writing aeration on a line when you ran a power rake. Core aeration pulls plugs and leaves them to melt; dethatching tears the mat out and drops a load somebody has to move, at twice the hours. Bill the machine you ran, and the haul gets its own line. Third, billing a neglected yard at the recurring rate. A one-time mow on overgrown turf runs several times the hours of a weekly cut. Price that reset separately and start the recurring rate at visit two, or the customer anchors on the low one.

Common questions

How should sprinkler work appear on a lawn maintenance invoice?

On its own lines, never inside the maintenance figure, or the next repair is expected free. A spring start-up bills per zone or flat to a zone count, and the line says what each got: heads raised after settling, nozzles swapped, arcs reset, controller programmed. Winterization is the mirror image, and the blow-out goes on the paper with the pressure you held — about 80 psi on PVC laterals and 50 on poly, which is softer and takes compressed-air heat badly. Repairs bill per part with the zone named: a sprinkler head replacement, a solenoid, a broken lateral line repair. A coverage audit is its own sale: set catch cans across a zone, run it, and hand over what the cups caught, so a dry corner becomes an approved repair rather than a complaint about your mowing.

Can I sell a single fertilization treatment to somebody who does not want the whole program?

Yes, but price it as a single application, not at the program's per-step figure. A season-long six-step program spreads the sale, the scheduling and the route stop across six visits; a one-off carries all that overhead alone, so a la carte costs more per treatment. Bill it per thousand square feet of turf and say which step it stands in for. Timing is what customers argue with. A pre-emergent crabgrass application has to be down before soil temperature at two inches holds near 55 degrees for several days, so a June caller is buying post-emergent crabgrass control instead, priced differently and slower to show because it kills a plant already up. Name which of the two you sold.

A customer wants a tree taken down while I am on site. What goes on the invoice?

Invoice the ground work and write the rest up as out of scope. Small tree trimming, sucker and water sprout removal and grinding a small stump sit inside this trade. The moment it needs a climber, a bucket, rigging over a roof or a saw above your head, it is tree work on a different insurance class, and where arborists are licensed a maintenance registration does not stretch to cover it. Say so on the line: limbs cleared to reach the turf, removal quoted separately. Then bill what you performed — brush pile removal and haul, limb and branch pickup after wind — with the volume beside it. Writing the referral down shows you turned the climb away rather than forgot it.

How do I break up a seeding or sod job so it does not turn into free return visits?

Into four lines instead of one: prep, install, cover, and establishment. Rototill and grade before seeding is the first: tearing out what is there is where the hours go. The install line names the method and quantity — slice seeding, core aeration with overseeding, or sod by the thousand square feet — and the variety, since a shade mix under trees and a sun blend are different orders. On a slope the erosion control blanket is the third line and its own labor: it is stapled down, not thrown. Post-seeding watering visits and the follow-up inspection are the fourth, sold before you pull out. Then say plainly that seed carries no guarantee of take and that a sod seam repair in the fall is a fresh visit.
